The Greater Jacksonville Fair is one of Northeast Florida's "Favorite Family Fun-time Events." For over 55 years we have celebrated, food, family and fun with the Jacksonville community and the five surrounding counties we annually invite to participate.  This information is for inside vendors (non food) only.

           THE EXHIBIT BUILDING WILL OPEN EACH DAY WHEN THE FAIR OPENS AND CLOSE EACH EVENING AT 10:00 PM

Exhibitors Set-up Times

Set-up:

Tuesday Nov 3rd 9:00 a.m. - 5:00 p.m.
Wednesday Nov 4th 9:00 a.m. - 3:00 p.m.

All exhibits should be in place no later than 3:00 p.m. opening day, Wednesday, November 4th.  Any space not occupied by this time will be forfeited to the fair along with any and all payments including the "Proof of Performance Deposit".

Booth Specifications:

Click on Inside Exhibit Hall "A" Lay-out   to review layout.  Call 904-353-0535, to find out which spaces are available.  Commercial space is sold as 10' X 10' booths and priced by their location within the Exhibit Hall as identified by their colors.  If a larger area is needed, spaces may be combined.  A $150.00 Proof of Performance Deposit along with any additional payment, is required with the application / contract. This deposit is not a portion of the rent, it is held for approximately three weeks after the fair and returned to the vendor if they have followed the rules.  By the submission of this application you or your company agree to abide by the rules and regulations governing commercial exhibitors at the Greater Jacksonville Fair.

 

Exhibitors must furnish their own:  Tables, table coverings, chairs, signage, extension cords, decorations, advertising, and promotional items.  Decorations and exhibits must be fireproof and subject to the approval of the Jacksonville Fire Marshal. Aisles must be kept clear at all times. 

Exhibits as well as machinery in motion shall be located sufficiently inside booth space with safeguards to adequately protect others.  Exhibitors must occupy and attend their booth space for the run of the fair.  Sub-leasing, loaning or sharing of booth space is prohibited.  Exhibitors are not allowed to walk around or solicitate outside their booth, they must remain in the space assigned to them.  Exhibitors may not move or spread out to an unoccuped booth without the express permission of the Exhibit Coordinator, this is strictly prohibited!   

Sound devises are subject to the approval of management and must be kept at a level not to interfere with others.  Food or beverage sampling / give-a-ways are a provledge of sponsorship only.  The Fair Association reserves the right to decline or prohibit any exhibit or part thereof. Exhibitors shall not have exclusivity of any product line or merchandise.

Exhibitors accept full and complete responsibility for any and all injury or damage to their person or the person or property of others inside their exhibit area. The Greater Jacksonville Fair shall not be responsible for the loss, theft or damage of exhibits or merchandise whatsoever. 

Electrical: 

Each booth will be provided with (1) one 110 volt/500 watt electrical outlet. Under no circumstances will more than three (3) extension cords, in any configuration be permitted for use in any booth. Additional usage over 500 watts will be subject to an additional fee and must be paid in the Fair office prior to move out.

Liability Insurance:

A certificate of liability insurance in the amount of $500,000, naming The Greater Jacksonville Fair as additionally insured is required to be on file in our office prior to set-up.

To Reserve Your Space:

Booths are sold on a day-to-day basis, call the Fairgrounds Office (904-353-0535) to discuss which booths may still be available. Then compelete the Inside Commercial Exhibit Space Application / Contract and fax, 904-353-5458 with your charge information or mail with the $150.00 proof of performance deposit and additional payment to:

Payments may be charged (Visa or MasterCard, American Express) or paid with cash, check or money order. If 50% of the rent is not included at the time of reservation it is due by July 15th. The balance is due in full by Octorber 1st. If you wish to charge your deposit/rent, you may mail or fax your application (904-353-5458). The balance, if any, will be automatically charged when due. Space purchased after October 1st, must be paid at the time of purchase with certified funds. Request for cancellation must be in writing 60 days prior to opening day of the Fair. Failure to adhere to these terms shall constititue a breach of contract resulting in forfeiture of space and all funds on deposit to the Fair.  Cancellations must be in writing 60 days prior to opening day of the fair.

FIRE OR EMERGENCY EXIT DOOS ARE FOR EMERGENCIES ONLY!

Exhibitors may not prop open or use the Emergency Exit Doors for loading, unloading, merchandising or personal use at any time.  Exhibitors who disobey this rule will be escorted from the Fairgrounds immediately!

Check-In and Credentials:

Upon arrival exhibitors should proceed to the Fair Administration Office for last minute instructions and credentials. The principal exhibitor will receive one (1) Parking ticket, and 1 Picture I. D. Badge.  If you have additional workers, indicate how many on the application, additional single day entry tickets may be considered.  If needed, reasonable entry tickets may be purchased at the Fair Office for advanced gate admission price.  If additional parking is needed, the charge in the city lots is $5.00 per day.  Limted space for stock trailers will be filled on a first come, first serve basis.  Please indicate this request and the dimensions of your trailer on the application. 

Set-Up:  Tuesday, November 3rd       - 9:00 a.m. - 5:00 p.m.
              Wednesday, November 4th -  9:00 a.m. - 3:00 p.m.

Exhibitors may off load mcerchandise through the roll up doors at the rear of Exhibit Hall "A." Exhibitors are not allowed to prop open, load or unload through the Front Entrance Doors or the Fire Exit Doors.  For security, the Front Doors are to remain locked during set-up and remain closed each day until the Fair opens.  FIRE or EMERGENCY EXIT DOORS are for emergencies only, not for loading, unloading or personal use!  Exhibitors who disobay this rule will be escorted from the Fairgrounds immediately! Exhibits should be in place no later than 3:00 p.m. opening day, Wednesday, November 4th.

Breakdown:

Exhibitors may begin to break down at 8:00 p.m., Sunday, November 15th.  Failure for the exhibitor to remain until this time shall constitute a breach of contract and result in forfeiture of the Proof of Prformance Deposit. All exhibits must be removed by 12:00 noon, Monday, November 16th. The cost of removing any remaining exhibits will be charged to the vendor.
